Job Summary
The Admin and Bookkeeping Assistant is responsible for providing administrative support and assisting in financial record-keeping to ensure smooth daily office operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information.
Key Responsibilities
A. Administrative Duties
Provide general administrative and clerical support
Manage office files (physical and digital) and maintain organized records
Handle incoming and outgoing emails, calls, and correspondence
Schedule meetings, appointments, and maintain calendars
Prepare reports, memos, letters, and other documents
Monitor and order office supplies and maintain inventory
Coordinate with suppliers, service providers, and building management
Assist in HR-related documentation (attendance monitoring, leave tracking, employee records)
Maintain confidentiality of company documents and employee information
Support company events, meetings, and internal activities
Ensure office cleanliness and organization standards are maintained
Handle courier transactions and document deliveries
Perform other clerical or administrative tasks assigned by management
Record daily financial transactions accurately
Prepare and issue invoices, receipts, and billing statements
Monitor accounts receivable and accounts payable
Reconcile bank statements and company accounts
Assist in payroll preparation and timekeeping verification
Monitor expense reports and reimbursements
Prepare financial summaries and basic reports for management
Assist in government compliance documentation (SSS, Phil Health, Pag-IBIG, BIR)
Organize and file financial documents for audit purposes
Ensure proper documentation of all financial transactions
Qualifications
At least 2-5 years experience
Bachelor’s degree in Business Administration, Accounting, Finance, or related field
Proven experience in administrative and/or bookkeeping roles
Knowledge of basic accounting principles
Proficient in MS Office (Excel, Word) and accounting software
Strong attention to detail and organizational skills
Trustworthy and able to handle confidential information
Fast learner
Working Location
Pasig City, Philippines. This is an on-site position.
