Start making an IMPACT! The Role: Executive Business Partner What will you do? Executive Assistance Manages calendar, travel arrangements & expense reports of the executive Meets regularly with Executive to review the status of projects; plan key events, meetings, and upcoming travel; and prioritize open action items.
Creates and maintains reports, spreadsheets, and other necessary documents in response to and in anticipation of executive's needs Assistance with preparation and consolidation of materials to build an executive presentation of monthly/quarterly meetings.
Prepares, reviews submits and tracks Executive’s expense reports for reimbursement Organize and manage Team shared files Advice, support, assist, coordinate, and collaborate on special projects which are highly complex, and involve the creation and oversight of multifaceted teams.
Handles details of a highly confidential and critical nature.
Interacts and communicates with all levels within the company; develops effective networks with peers, as well as external professional groups.
Must be able to juggle many tasks simultaneously.
Administration Assistance Shuttle Service Management Process Purchase Requests, Purchase Orders, Invoice Coding, vendor setup, and AP coordination Enters, tracks, and processes departmental expenses and invoices for payment Assist travel arrangements (domestic and international); air, hotel, and car arrangements for Hub employees and Hub visitors Share Point Database and Group Email Administration Works with peers to execute approved project activities Perform other related projects and duties as assigned Qualifications Who would be successful? Bachelor’s degree Excellent verbal and written communication skills.
Fluency in English required.
Expert ability using Microsoft Office programs including, but not limited to Teams, Word, Excel and Power Point and potentially Microsoft Project.
Creating & Editing videos is a plus.
Strong organizational skills including, but not limited to, the ability to handle multiple demands and assignments and the ability to prioritize tasks effectively and efficiently.
Requires the ability to exercise independent judgment and a high degree of initiative in resolving problems and developing recommendations.
Knows how to leverage resources and delegates effectively Expert ability using Outlook Displays a positive and team-first attitude Continuously seeks ways to enhance contribution to those they support Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends.
Experience with project coordination and budget tracking.
Good understanding of Administrative and Vendor Support functions Work is generally of a critical or confidential nature.
Demonstrates a commitment to acquiring new capabilities Able to work in a flexible/rotating schedule.
Usually mid-shift.
