Monday to Friday, 1:00 PM to 5:00 PM AWST or 2:00 PM to 6:00 PM AWST (4 hours per day / 20 hours per week) Client Timezone: Perth, Western Australia/Philippines As an Executive Assistant/Secretary, you’ll be at the heart of a thriving legal practice, directly supporting the managing partner and potentially other lawyers.

Responsibilities Coordinate and schedule client meetings, managing complex calendars for the managing partner and clients Set up and manage virtual meetings using Microsoft Teams Screen incoming client calls, gathering essential information using a standardized checklist Arrange paid consultation meetings based on initial client screenings Assist with billing and invoicing processes using specialized software Draft client engagement letters using template documents, ensuring accuracy and attention to detail Handle confidential client communications and information with utmost discretion Book travel arrangements for the managing partner, including flights and accommodation Transcribe dictations and convert them into polished documents Manage ad hoc administrative tasks to support the smooth running of the firm Requirements Requirements 2-5 years of experience in an administrative or executive assistant role, preferably in a professional services environment University degree Outstanding written and verbal communication skills in English Proficiency in Microsoft Office suite, particularly Outlook and Teams Strong attention to detail and ability to follow complex instructions accurately Excellent time management skills with the ability to prioritize tasks effectively Basic understanding of legal terminology and processes (preferred) Adaptability to learn new software systems and administrative processes quickly Ability to work independently in a remote setting while maintaining high productivity Professional demeanor and commitment to maintaining confidentiality Benefits Permanent work from home Immediate hiring Steady freelance job Has the potential to be full-time depending on performance.
