Job Description As an  Administrative Assistant , your role is pivotal in maintaining Kinsella’s Client Management System (CMS) for relevancy and currency. Youll handle address and contact amendments, create contacts as directed, and diligently monitor and action our client’s administration ticketing system within specified timeframes. Here’s an overview of your future role: Employment Type: Full-time Shift: Day Shift Work Setup: Onsite, Makati What do you need to succeed? Extensive experience in admin tasks and working with international clients. 2-3+ years of experience in a similar role with an Australian accounting firm. Practical experience with NowInfinity, Xero Practice Manager, FuseSign, and the ATO Portal. Excellent English language skills, both written and verbal. Intermediate proficiency with MS Office applications. What awaits you in this role? Fee and Debt Management: Prepare standard Xero reports and work in Microsoft Excel according to business standards. Prepare weekly and monthly reports for the firm’s management group. Prepare the firm’s weekly bills. Client and Database Management: Maintain Client Management System (CMS) to ensure relevancy and currency. Prepare address and contact amendments and create contacts as directed. Monitor and action the administration ticketing system within specified timeframes. Monitor our document management system, FYI Document Manager, to ensure all documents are accurately filed. Client Correspondence: Provide administrative support, including preparing standard correspondence and outgoing correspondence online through ATOmate (ATO correspondence, Notices of Assessments, etc.) ASIC Corporate Compliance: Review and prepare the ASIC Annual Compliance for the firm’s clients through our compliance system, NowInfinity, and prepare Kinsella invoices if applicable for the Accounting Support Officer to review. Prepare ASIC Forms if requested by the Accounting Support Officer. Establish workflow processes. Prepare new job setups for the accounting team in Xero, using the Myworkpapers software to create workpapers and generate Xero returns. Prepare collation processes for the Accounting Support Officer to review using the e-signing platform (FuseSign). Why choose us?
