About the Role
We are seeking an experienced Financial Planning Specialist to provide end‑to‑end support to our Financial Advisers in managing client reviews, onboarding, implementation, compliance documentation, and ongoing service activities. This will be an onsite work in Cebu City, PH.
You will be joining a fast‑paced, AI‑enabled team that values efficiency, adaptability, and continuous improvement. The ideal candidate can hit the ground running, is easy to train, and adapts quickly as tools, processes, and ways of working evolve.
Key Responsibilities
Adviser & Client Support
Provide day‑to‑day administrative support to Financial Advisers
Manage client onboarding, review preparation, and follow‑ups
Coordinate and track tasks across advice, implementation, and reviews
Handle post‑SOA tasks including implementation tracking and follow‑ups
Ensure advice documentation is complete, accurate, and ready for adviser review
Implementation & Reviews
Manage implementation of advice recommendations (super, investments, insurance, etc.)
Liaise with product providers and platforms as required
Support annual and ongoing review cycles, including data updates and documentation
Maintain accurate records in CRM and document management systems
Conduct accurate and detailed product provider research calls to support client strategy preparation
Track outstanding implementation items through to completion
General Admin & Workflow Management
Keep client files organised, up to date, and clearly documented
Organise and schedule client appointments
Track outstanding items and proactively follow up to completion
Support continuous improvement of admin processes and templates
Demonstrate proactive customer service by responding to client needs promptly and professionally
Assist with ad‑hoc administrative tasks as required to support the team
Collaborate and proactively engage in projects for continuous team improvement and scalability
What We're Looking For
Essential
Minimum 2+ years' experience in an AU Financial Planning Admin
Strong understanding of SOA workflows, reviews, implementation, and compliance
Proficient in Microsoft Outlook, Excel, Word, and Copilot
Strong communication, research, and documentation skills
Ability to self‑manage, take initiative, and drive outcomes
Comfortable multitasking, adapting to changing priorities, and working in a fast‑paced environment
Highly Regarded
Experience with common AU planning tools and CRMs
Previous experience supporting advisers or a growing practice
Familiarity with ongoing service agreements and review cycles
