Role Overview: The Digital Production Assistant provides essential logistical, technical, and administrative support for the Tatler digital team.
This role ensures that shoots run smoothly on-site and that the 'paperwork' of production—budgets, receipts, and vendor payments—is meticulously managed.
Key Responsibilities: 1.
Production Finance & Administration: Fund Management: Process and track all production fund requests and petty cash for upcoming shoots.
Budget Tracking: Create and maintain budget summaries for each project, ensuring we remain within the allocated spend.
Reimbursements & Receipts: Collect, digitize, and organize all receipts from the crew and talent; prepare formal reimbursement reports for the Finance Department.
Vendor Coordination: Manage communications with external vendors (equipment rentals, catering, locations) and ensure timely payment processing.
2.
On-Set & Shoot Support: Logistics: Assist the team with gear transport, set construction, and managing the 'run of show' during live shoots or high-profile events.
Talent Liaison: Act as the primary point of contact for talent on-set, ensuring riders are met and schedules are followed.
Asset Support: Assist the Production team with basic DIT (Digital Imaging Technician) tasks, such as backing up memory cards and organizing raw files.
3.
Event Support: On-Site Coordination: Attend Tatler events to assist with equipment setup (lights, stabilizers, microphones).
Crowd/Access Management: Ensure the team has the necessary credentials and clear space to capture content in busy event environments.
Qualifications: Financial Literacy: Strong experience with Excel or Google Sheets; highly organized regarding bookkeeping and administrative filing.
Production Knowledge: Basic familiarity with photo/video equipment and the flow of a professional production set.
Problem-Solving: A 'no task too small' attitude with the ability to pivot quickly when logistical issues arise on-set.
Reliability: High level of integrity when handling company funds and sensitive financial data.
Digital Director's Note: While this role involves 'at shoot' needs, the priority for this specific hire is the financial and administrative workflow.
